Share a file with people outside your workspace
Send a video, image or take to someone by email, or turn on a link anyone can open, and let them comment on it.
Everyone in your workspace can always open the files in your Library. To show one to someone else, a client or a friend, use the Share tab of the file. It works for uploads and for anything you generated.
Where Share is
Open a file in the Library, or a take on Home or Create, and choose the Share tab in the panel at the right. On a phone, open the file, swipe up for its details and choose the Share tab.
Send it to someone
Type one or more email addresses in Send to people by email and choose Send. Each person gets an email with their own link. It opens the file in their browser, with no account and no sign-in.
Everyone you sent it to is listed under People with access, with whether they’ve opened it yet. Choose × beside someone to take them off: their link stops working, and nobody else’s changes.
Anyone with the link
Under General access, choose your workspace’s name and pick Anyone with the link. Then Copy share link gives you an address anyone can open, to paste wherever you like. Pick your workspace’s name again to turn it off: the link stops working for everyone except the people you sent it to. The address itself never changes, so you can turn it on and off without sending a new one.
Pasted into a chat or an email, a link anyone can open shows a preview with the file’s picture.
Viewing, commenting or downloading
Beside General access, choose Can view, Can comment or Can download. With Can comment, people outside your workspace get a Comments tab. Can download adds a Download button that saves the original file, and they can still comment. It applies to everyone the file is shared with outside the workspace.
Comments from outside
With Can comment, someone you shared a file with adds their name and a comment. On a video it's left at the moment they paused on, and Range covers everything up to where they move the playhead. Pin puts the comment on a spot in the picture. Draw lets them mark it up with a pen, an arrow or a box. They can reply to each other, and they see only the comments left through the link and your team's replies to them.
Their comments come into the file's Comments tab in your Library, marked Guest. The person who added the file, and anyone who has written in that thread, hears about each one in the bell. Choose a comment's time to jump there. If it has a pin or a drawing, it shows over the file until you choose it again. Your replies to their comments show on their link too. Your team's own comments stay inside the workspace, and only your team can mention people with @; a guest's comment is plain words.
What they see
The file playing or shown big, with its name, who shared it and a few details: length, size, when it was shared and whether they can view or download. They never see the prompt or anything else in your workspace. Shared pages aren’t listed by search engines.
A 3D model or a world opens as the same interactive preview as in the Library: they can orbit a model, or look and move around a world, and use Reset view to start again.
A video that starts without sound has a Turn sound on button. Along the bottom are Download (only with Can download), Copy link (only on a link anyone can open, not on the personal link from an email) and Full screen.
If you’re in the workspace yourself, the link takes you straight to the file in your Library instead.
Good to know
- Editors and owners can share files. Commenters can see who a file is shared with.
- Only the person who made a private take can share it or take someone off it.
- While General access is your workspace, the link you copy opens the file only for people in your workspace and the people you sent it to. Anyone else sees This link isn’t working. Send them an email instead, or turn on Anyone with the link.
- If someone else changes the same file’s sharing at the same moment, your change isn’t saved and you see Couldn’t change that. Try again. Check the current setting, then change it again.
- Deleting a file from the Library turns off every link to it.
- If the box says sending by email isn’t set up yet, use Anyone with the link and send the link yourself.
- Copy share link is greyed out while the file’s address is loading, and if it can’t be loaded. It only copies the address once it’s there.
- You can send one file to 20 addresses an hour, and up to 50 a day in all. One address can be sent a share three times a day by anyone, so if someone has already had a few today, the email may not go out even though it shows as sent.
- A link takes up to 30 comments an hour from the people using it, so a busy one may ask them to try again a little later. Your team’s replies don’t count towards that.
- Comments work on videos and images. A shared sound has no Comments tab.
- A CDN link is a separate address for loading a file into your own site or app, on Pro and Team. Changing who can open a file here doesn't change it, and turning it off doesn't change this.
